Operations Lead
Health Justice is hiring for a role that will support our organizational operations, including human resources, governance support, IT support, and some financial administrative support.
The position is for six months, from October 1, 2024 to March 31, 2025, with the potential to continue beyond that period subject to funding. The role will be between 28 and 35 hours per week, depending on the successful candidate’s comfort with taking on the range of duties related to our operations.
About us and the role
Health Justice is a non-profit organization that uses research, education, and systemic advocacy to transform the laws and policies that govern coercive mental health and substance use care in BC. We use an alternative non-profit governance model that centres the communities most impacted by our work and we bring human rights, decolonial, and equity-oriented approaches to all of our work.
Health Justice strives to find new ways of approaching non-profit management and operations to support individual, team, and organizational wellbeing and sustainability. We recently undertook a planning process that identified the following as one of our four core priorities: nurturing a holistic and transformative workplace that is accepting of the whole self and that prioritizes health and wellbeing. Our operations team, and this role, will play a key role in establishing a strong and responsive foundation for our team, our work, and our mission.
More specifically, the role will include:
Support human resource administration including preparing draft contracts, monitoring payroll, administrating benefits, and remitting benefit payments;
Support financial administration including AP and AR processes with the support of our bookkeepers and other operations staff;
Track and ensure the organization and its staff meet legal compliance requirements and deadlines, including CRA reporting and remitting, WorkSafe reporting, Societies Act reporting, lobbying reporting, etc.;
Provide governance support as needed (for example, coordinating meetings, helping prepare meeting packages, and supporting communication with the individual members of Health Justice’s governance groups);
Order and track equipment, monitor and maintain IT infrastructure, including security with guidance and support, and support staff with tech questions and troubleshooting;
Monitor donation database and send out donor communications as needed; and
Other operations and administrative tasks as other tasks as needed.
Qualifications and Attributes
Note: below is our wish list for the position, but we know not everyone will have experience in every area below. We encourage applicants to apply if they bring some, but not all, of the attributes set out below.
The following will be assets in the role:
Familiarity with or willingness to learn about payroll software, benefits administration, and financial software platforms (we currently use Payworks, QBO, Dext, and Plooto and experience with those particular platforms or similar platforms would be a benefit);
Experience with or interest in learning about trauma-informed, decolonial, relational, and inclusive approaches to human resources and organizational employment practices, including bringing an open mind and a willingness to question traditional approaches;
Experience with financial administration, including reconciliation, variance monitoring, payment approvals, audit prep, and grant-based/restricted funds accounting;
Experience supporting meeting scheduling, note taking, and other administrative tasks to ensure meetings are accessible and run smoothly;
Comfort juggling multiple spreadsheets, budgets, and many tasks with strong attention to detail;
Comfort with drafting simple employment and supplier contracts using a template and with adequate support;
Familiarity with the administration of Microsoft 365, including Microsoft Entra ID/AzureAD;
Knowledge of operational IT issues like MFA migration and general troubleshooting for Office 365 and Windows 10 and 11;
Strong ability to independently track, remember, plan for, and meet multiple deadlines;
Compassionate, clear, non-judgmental verbal and written communication skills, including the ability to adjust style and tone for a variety of audiences;
Interest in law and policy related to state intervention and detention systems and the disproportionate impacts those systems may have on people who are marginalized on the basis of disability, substance use, Indigeneity, gender, poverty, race, age, etc.;
Comfort with bringing a critical lens to professionalism and power, including collaborating with partners/co-workers who bring multiple forms of expertise;
Comfort working remotely and largely independently, with independent self-direction to check in and collaborate with team members as needed; and
Lived experience related to or a demonstrated understanding of and commitment to decolonizing and combatting oppression on the basis of Indigeneity, race, place of origin, immigration status, ability, sex, sexual orientation, gender, family status, and socio-economic status.

Salary, benefits, working conditions
The annual salary range for this position will be between $63,700 and $67,340 annually based on a full-time 35-hour work week (the salary will be pro-rated for the length of the contract and the final number of weekly hours agreed upon). Health Justice also offers a comprehensive compensation and benefits package that strives to provide decent work, including:
20 days per year paid personal/sick time (pro-rated as necessary);
25 days per year paid vacation (pro-rated as necessary);
Two paid office closure periods per year, one in late December and one in early August;
Extended health and dental benefits after 3 months of employment;
7.5% group RRSP contributions after 3 months of employment with no employee matching requirement;
A fully remote workplace with some access to shared office space in Vancouver; and
A highly flexible and inclusive workplace.
The successful applicant can work from anywhere in BC with stable internet access that can support video calls. Health Justice will provide equipment and remote working infrastructure. The role will require the successful applicant to be available for work at least 4 days during each work week to ensure coverage for required tasks, although there is flexibility in how hours are allocated across work days. Travel for work may be required, but we do not expect it to be a regular occurrence.
